Terms and Conditions of YourSessionBookings.com

These Terms and Conditions ("Agreement") are a legal agreement between you ("User" or "you") and London Wheels Media Ltd ("Company", "we", "our", "us"), the owner of Your Session Bookings and YourSessionBookings.com (collectively, the "Website" or the "Platform"). By using the Platform, you agree to comply with and be bound by these Terms and Conditions.

1. Acceptance of Terms

By accessing and using the Platform, you agree to be bound by these Terms and Conditions, including any updates or changes made from time to time. If you do not agree to these terms, please refrain from using the Platform.

2. Changes to Terms

London Wheels Media Ltd reserves the right to modify or update these Terms and Conditions at any time. Any changes will be effective immediately upon posting on the Platform. It is your responsibility to review these Terms periodically for updates.

3. User Responsibilities

You are responsible for all information, content, and settings you create or manage through the Platform. This includes, but is not limited to:

  • Business and staff details

  • Service descriptions, prices, and availability

  • Booking rules, cancellation policies, and terms

  • Client contact details and communications

  • Messages, notifications, reminders, and any media you upload

By using the Platform, you agree not to:

  • Use the Platform for any unlawful purpose.

  • Violate any local, national, or international laws or regulations.

  • Post, upload, or link to any content that is offensive, harmful, fraudulent, misleading, or otherwise inappropriate.

  • Misrepresent your identity, your qualifications, or the services you provide.

  • Attempt to reverse engineer, decompile, or disassemble any part of the Platform.

You are solely responsible for obtaining any necessary consents from your clients (for example, consent to store their contact details, send them notifications, or process their data).

4. Content Responsibility

London Wheels Media Ltd does not take any responsibility for the content of user-created booking pages, service listings, staff profiles, policies, or any communications sent via the Platform. This includes, but is not limited to, the accuracy, legality, or appropriateness of:

  • Service descriptions and pricing

  • Business information and qualifications

  • Availability schedules and booking rules

  • Policies on cancellations, refunds, and no-shows

  • Links to external websites or resources

Users are solely responsible for ensuring their content and practices are lawful, accurate, and appropriate for their profession and jurisdiction.

5. Technical Issues and Service Availability

The Platform may experience downtime, crashes, delays, or interruptions due to server errors, maintenance, third-party failures, or other unforeseen circumstances.

London Wheels Media Ltd does not take responsibility for any lost business, missed appointments, double bookings, lost data, or other damages that may result from such technical issues.

By using the Platform, you agree to waive any rights to claim compensation from London Wheels Media Ltd for:

  • Temporary or extended unavailability of the Platform

  • Errors in data syncing, notifications, or scheduling

  • Issues related to internet connectivity, third-party integrations, or devices you use to access the Platform

You are responsible for having your own backup procedures and contingency plans for critical appointments or business operations.

6. Limitation of Liability

To the fullest extent permitted by law, London Wheels Media Ltd shall not be held liable for any direct, indirect, incidental, special, or consequential damages arising from or in connection with:

  • Your use of, or inability to use, the Platform

  • Any appointments, sessions, or services booked, cancelled, or missed through the Platform

  • Any disputes between you and your clients, team members, or other third parties

  • Loss of business, revenue, profits, data, or goodwill

This includes any damages arising from server downtime, technical faults, configuration errors, integration issues (e.g. calendars, payment providers, SMS/email gateways), or user input errors.

If, despite the above, London Wheels Media Ltd is found liable, such liability shall be limited to the amount you have paid to us for the use of the Platform in the three (3) months immediately preceding the event giving rise to the claim, to the extent permitted by law.

7. Intellectual Property

All content on the Platform, including but not limited to text, graphics, logos, images, interface design, and software, is the property of London Wheels Media Ltd and is protected by copyright and other intellectual property laws.

You may not use, copy, reproduce, modify, or distribute any part of the Platform without prior written consent from London Wheels Media Ltd, except as expressly permitted in these Terms.

This does not apply to your own content and data (such as your business details, services, schedules, client data, and media uploads), which remain yours. By using the Platform, you grant us a non-exclusive, worldwide licence to host and process your content solely for the purpose of providing and improving the Platform.

8. Privacy

We are committed to protecting your privacy and handling personal data in accordance with applicable data protection laws.

For information on how we collect, use, and protect your personal data and your clients’ data, please review our Privacy Policy (as published on the Platform). By using the Platform, you agree to that Privacy Policy.

9. Termination

London Wheels Media Ltd reserves the right to suspend or terminate your access to the Platform at any time, without notice, for any reason, including but not limited to:

  • Violation of these Terms and Conditions

  • Suspected fraudulent or abusive activity

  • Misuse of the Platform or attempts to compromise its security

Upon termination, your access to your account and certain features may be disabled. We may, but are not obligated to, retain your data for legal, security, or backup purposes, subject to our Privacy Policy.

10. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the United Kingdom. Any disputes arising under or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.

11. Indemnification

You agree to indemnify, defend, and hold harmless London Wheels Media Ltd, its officers, directors, employees, agents, and affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use of the Platform

  • Your bookings, sessions, and professional services

  • Your violation of these Terms and Conditions

  • Your violation of any laws, regulations, or third-party rights

  • Any claim made by your clients or any third party in relation to services booked or managed through the Platform

12. Account Security

If you create an account on the Platform, you are responsible for:

  • Maintaining the confidentiality of your login details and password

  • Ensuring that any staff or team members with access to your account are authorised and informed

  • Notifying us immediately if you become aware of any unauthorised access or use of your account

We are not liable for any loss or damage arising from your failure to protect your account credentials.

13. Refunds and Payments

a) Fees paid to London Wheels Media Ltd
If applicable, any subscription fees or other payments you make to London Wheels Media Ltd for using the Platform are non-refundable unless expressly stated otherwise in a specific offer, promotion, or where required by applicable law.

We reserve the right to modify our pricing structure, subscription plans, and billing terms at any time. Any changes will take effect from the start of your next billing period, unless stated otherwise.

b) Payments between you and your clients
The Platform may facilitate or link to payment methods between you and your clients (for example, taking deposits, prepayments, or full payments for sessions).

London Wheels Media Ltd is not a party to these transactions and is not responsible for:

  • The collection or refund of payments between you and your clients

  • Chargebacks, disputes, or payment failures

  • Your compliance with tax obligations relating to those payments

You are solely responsible for your own pricing, refund policies, and any agreements you make with your clients.

14. Third-Party Links and Integrations

The Platform may contain links to third-party websites or integrate with third-party services (for example, payment processors, calendar services, email/SMS providers). These are provided for your convenience only and do not imply endorsement by London Wheels Media Ltd.

We are not responsible for:

  • The content, security, or practices of any third-party websites

  • The availability or performance of third-party services

  • Any data you choose to share with such third parties

Your use of third-party services is subject to their own terms and privacy policies.

15. Relationship Between Service Providers and Clients

The Platform is a tool to help service providers (e.g., barbers, beauticians, personal trainers, therapists, consultants, and other professionals) manage their appointments and bookings.

London Wheels Media Ltd:

  • Is not a party to any contract between you and your clients

  • Does not vet, endorse, or guarantee any service provider or client

  • Does not provide professional, medical, psychological, legal, or any other regulated services

All obligations relating to the quality, safety, legality, timing, or outcome of services provided to clients rest solely with the relevant service provider. Any issues, complaints, or disputes about appointments or services must be resolved directly between you and your clients.

16. Professional and Regulatory Compliance

If you provide services that are subject to professional, ethical, or regulatory requirements (for example, healthcare, mental health, legal, or financial services), you are solely responsible for:

  • Ensuring that your use of the Platform complies with all applicable laws, rules, and professional standards

  • Maintaining appropriate records and documentation outside or in addition to the Platform, where required by law or regulation

  • Obtaining appropriate consents from clients and protecting sensitive data in accordance with applicable privacy and data protection laws

The Platform is not designed to replace specialised clinical record systems or regulated case management systems, and should not be treated as such.
